How Our Process Works

1. Discovery & Consultation

We analyze business needs, identify workflow bottlenecks, evaluate technical requirements, define scope, create a roadmap, and discuss budget and timelines.

  • Clients provide clear requirements, platform access, technical information, a communication contact, and business goals.

2. Strategy & System Architecture

We create AI workflow architecture, automation structures, integration planning, infrastructure mapping, lead/data flows, and technical strategy.

  • Once approved, the project enters development, payments are processed, and the agreed scope becomes fixed.

3. Development Phase

We build AI systems, configure integrations, optimize workflows, run internal testing, and monitor performance.

  • Clients may receive progress updates, previews, milestone demos, and testing access when required.

4. Testing & Optimization

Before launch, systems go through functionality testing, automation testing, AI response validation, infrastructure checks, performance optimization, and security review.

5. Launch & Support

After deployment, systems are delivered, onboarding is provided, documentation may be included, and the support period begins.

Payment Policy

Accepted payment method

Aevora Studio accepts payments exclusively through Stripe for secure payments, invoicing, subscriptions, and international transactions.

Payment structure

The standard model is 50% upfront and 50% upon project completion or milestone approval. Larger projects may use milestone payments, retainers, or subscription plans.

Currency

Payments may be processed in USD, or EUR if agreed in advance.

Taxes and fees

Clients are responsible for local taxes, international transfer fees, currency conversion fees, and banking fees where applicable.

Refunds, Revisions, and Timelines

Refund policy

All payments made to Aevora Studio are final and non-refundable once a project begins, because development hours, strategy work, AI infrastructure, integrations, and production resources are allocated.

  • Refunds may only be considered if the project has not officially started or Aevora Studio is unable to deliver the agreed scope.

Revision policy

Each project includes a limited number of revision rounds depending on the agreed scope, typically 2-3 rounds.

  • New features, redesign requests, additional integrations, major workflow changes, concept changes after approval, and extra AI systems require separate pricing.

Timeline policy

Project duration depends on complexity, number of integrations, API limitations, client response speed, technical requirements, and external platform dependencies.

  • Delays may occur due to missing information, delayed feedback, unavailable API access, third-party service outages, or scope changes.

Support and AI Systems

Post-launch support

Support may include bug fixes, automation monitoring, troubleshooting, infrastructure maintenance, performance optimization, AI improvements, and scaling support.

AI systems disclaimer

AI systems are probabilistic. They may occasionally generate inaccurate responses, misunderstand prompts, fail due to external APIs, or produce unexpected outputs.

  • Aevora Studio is not responsible for AI inaccuracies, third-party failures, external outages, API limitations, or business losses caused by AI outputs.

Confidentiality and Ownership

Confidentiality

We do not sell client data, share confidential information, or distribute business materials. Secure workflows and privacy-focused systems are used. NDA agreements are available upon request.

Ownership and licensing

After full payment, clients receive ownership of the agreed deliverables. Internal frameworks, reusable systems, proprietary tools, and company methodologies remain the property of Aevora Studio.

Third-party services

Third-party tools are not included in project pricing unless specifically agreed.

  • Clients are responsible for OpenAI or Claude API costs, hosting, cloud infrastructure, CRM subscriptions, automation platforms, databases, and external software subscriptions.

Communication, Payments, and Cancellation

Communication channels

Main communication platforms may include email, Telegram, Discord, Slack, and Notion.

Response time

Standard response time is 24-72 business hours. Priority support may be available through premium support plans.

Failed payments and chargebacks

If a Stripe payment fails, is disputed, or is delayed, Aevora Studio may pause development, suspend support, restrict system access, or place the project on hold until payment is completed.

  • Unauthorized chargebacks may result in permanent service termination, account restrictions, or escalation through Stripe dispute resolution.

Project cancellation

If a client cancels a project, completed work remains billable, payments remain non-refundable, and partial deliverables may be archived or suspended.

Liability limitation

Aevora Studio is not liable for financial losses, lost revenue, downtime, external service failures, platform bans, AI-generated inaccuracies, or missed business opportunities.

Acceptance policy

After final delivery, clients receive a review period. If no feedback is provided within the agreed timeframe, the project is considered approved and completed.

Subscription services

Recurring AI services renew automatically through Stripe. Cancellation requests must be submitted in advance, and late cancellation may result in additional billing periods.
